Personal data protection policy

Are you a candidate?

The data collected during the review of your application is processed by Qim info’s recruitment department to manage the application process for its future employees. The legal basis for this processing is Article 6(1)(b) of European Regulation 2016/679 (General Data Protection Regulation – GDPR) – processing is necessary for the execution of pre-contractual measures and the establishment of a contractual relationship between Qim info and applicants for employment or internships.

What is your data used for?

The processing carried out by the recruitment department is intended to:

  • Assess the candidate’s professional skills in relation to a job description or business need
  • Record the recruitment process
  • Validate pre-contractual terms

Unless you indicate otherwise, the information provided may be added to our CV database or used to match other job openings.

What categories of data will be collected and processed?

To fulfil these purposes, only personal information strictly necessary to assess your ability to perform the proposed role or measure your professional skills will be requested during the selection phase. To this end, we will ask for data relating to your qualifications, professional experience, and skills relevant to the position. Failure to provide this data will make it impossible for you to take part in the recruitment process. Should your application be successful and lead to a contract, we will ask for information and supporting documents required to complete mandatory formalities. Providing this information is a condition for concluding an employment contract for successful candidates. Additionally, the submission of certain categories of information and documents (civil status, address, social security number, residency status, etc.) is a regulatory requirement for successful applicants. Consequently, failure to provide this data will make it impossible to conclude an employment contract.

How long is your data retained?

Data is retained for as long as necessary to complete the recruitment process. Data relating to successful candidates will be incorporated into their administrative file and retained for the applicable retention period (up to five years after the end of the employment relationship). With their consent where applicable, data relating to unsuccessful candidates will be retained solely to maintain a CV database and potentially present them with new job opportunities, for a period of 5 years from the last contact with the candidate.

Who has access to the data collected during the review of your application?

Your file is handled confidentially. Only those responsible for departments with an interest in your application (recruitment officers, managers, etc.) have access to the personal data it contains. Please note that Qim info operates in both Switzerland and France, and that data may be shared between the various offices in connection with your application. If the recruitment process results in a positive outcome, the human resources department will share certain collected information with the relevant bodies notified of your hiring (including unemployment insurance, health insurance, pension, and supplementary health cover).

What are your rights and how can you exercise them?

You have the right to access your personal data. You also have the rights to rectification, objection, and erasure of this data. For any questions regarding the protection of your data or to exercise your rights, you may contact the Data Protection Officer (DPO) at the following address: dpo@qiminfo.ch. Should you encounter any difficulties, you may lodge a complaint with the French Data Protection Authority (CNIL).
